Invitations and admittance cards

If you accept your place at the presentation, your official invitations and admittance cards will be posted to you approximately three weeks before the presentation date. You’ll receive a formal white invitation and coloured admittance card for both you and your guest.

If any of the details printed on your admittance card are incorrect or don’t match your ID (first and last names must match, middle names aren’t required), please contact the Gold Award Presentation Team immediately at [email protected].

For security reasons, you may be asked to return the coloured admittance cards to be reissued. Admittance cards are not transferable.

If you haven’t received your invitations two weeks prior to the presentation, please get in touch with us immediately.

We aren’t permitted to issue replacement admittance cards unless we have received the originals.

If we receive your admittance cards less than a week prior to the presentation, or if your original tickets get lost in the post, replacements will be available for you to collect on the day. Please make yourself known to a DofE member of staff or the Metropolitan Police on arrival and they’ll assist you in collecting your admittance card.

Cancelling your place

Please let us know as soon as possible if you need to cancel your attendance for any reason and we’ll advise whether you can be added back to the waiting list and receive another invitation to attend a future presentation. You’ll only receive two invitations to attend a presentation, therefore if you cancel your second invitation your certificate will be sent in the post.

If your invitations and admittance cards have already been dispatched, for security reasons you’ll need to return these to us using the address on the back of the cards.

If you need to cancel your place on the day of the presentation, please call us on 07730 651376 or email [email protected]. If you don’t let us know in advance or on the day of the presentation that you are unable to attend, your certificate will be posted to you and you’ll not receive another invitation to attend a presentation.

If you or your guest are unable to attend due to illness, please let us know when you cancel your place.

It’s not possible for your guest to attend your presentation without you.

Running late

If you’re not going to arrive at St James’s Palace in time for the last entry time printed on your admittance card please call the Gold Award Presentation Team on 07730 651376

Personal guests

You are only permitted to have one personal guest accompanying you to the presentation, who must be over the age of 16. Please check that we have the correct details for your guest and update them if required at eDofE.org.

For security reasons guests can’t be changed within three weeks of the presentation date; if your guest is no longer able to attend after this time, please let us know. You are welcome to attend the presentation without a guest if you wish.

We’re unable to accommodate requests for additional guests under any circumstances.

On the day

When you arrive at St James’s Palace on Marlborough Road you’ll be directed to queue by DofE staff and the Metropolitan Police. This area isn’t covered, so please check the weather forecast in advance and bring appropriate attire and an umbrella if necessary.

For your safety and security, entrance times will be staggered. Your exact entrance time will be confirmed on your admittance card which you will receive approximately three weeks prior to the presentation. It’s not necessary for you to arrive earlier than the time on your admittance card.

There are four rooms within the State Apartments in which the presentations take place and once you have been admitted to the Palace you will be directed by DofE staff to the correct location. Please keep your admittance card with you until you are seated.

Within your room you’ll be part of a group of approximately 25 Gold Award holders drawn from a similar regional area.

Gold Award holders remain in the same room as their guest throughout the presentation, although they’ll be seated in either adjacent or opposite areas.

Presentations begin promptly and each presentation room will be led by a member of DofE staff. They’ll provide information about the structure of the presentation and official protocol.

During the course of the presentation HRH The Earl of Wessex will visit each room and speak to the groups of young people receiving their Gold Award. HRH will want to hear about your experience completing your Gold Award programme, so feel free to speak up and tell him your interesting stories.

It’s not possible for HRH to present each certificate personally, so a specially invited guest will present the certificates on his behalf. The guest presenter will also share a few words with your room, and there may be the opportunity for a Q&A session. We’re unable to confirm who the guest presenter will be in advance of the presentation day.

It isn’t possible for attendees to leave the presentation early.

Once the presentation proceedings in your room are finished, it’s unfortunately not possible for you to look around the Palace. Please ensure you collect any personal coats or bags left in the cloakroom as you leave.

Official photography

An official Gold Award Presentation photographer will be present on the day.

Family/individual photographs will be taken at a nearby studio location, the details of which will be included with your invitations and admittance cards. Although only one guest is able to attend the presentation with you, as many people as you wish can join you at the studio for pictures with family and friends.

The studio will be open from 08:30-18:30 and you are welcome to visit before or after your presentation. To avoid queuing, you are encouraged to book an appointment in advance at tempest-dofe.co.uk, but you can just turn up on the day. The studio will be busiest directly after each presentation – morning (12:30-13:30) and afternoon (17:15-18:15). During this time you may need to wait for a studio to become available. The quietest time to visit the studio is from 09:30-12:15 or 15:00-17:00. If you attend before your presentation certificate props will be available.
